Our WebCMS provides user-friendly, accessible and, above all, data-protected online forms. These allow the visitors to your website to enter information on the page, which is then sent to you automatically. Forms have various applications and you can use them, for example, for event, conference and lecture registration or for gathering ideas from your target group. The handy data storage tool and data export option can simplify work with customer data. Take a look at the sample event registration form for an example of how you can use the available input fields.

Application
Our Web Support team will create and publish your online form for you. Simply send an email to with the data required for your form.
- Let us know where the form should be embedded on your website (URL).
- What is the title of your form? Do you want to include an additional introduction text? These will be displayed above the input fields.
- Let us know which question fields the form should contain, and please mark mandatory fields with an asterisk (*). You can choose from:
- Free-response boxes, single or multiline
- Checkboxes (options with multiple selection)
- Radio buttons (options with only one selection)
- Dropdown lists
- Date fields
- Upload boxes
- Subheadings and informational text for structuring your form according to topic
- Which email address should the completed forms be sent to? What text should appear on the ‘thank you’ page after form completion?
- Specify if respondents should receive an automatic confirmation mail, and, if so, provide the text for this email.
- Let us know if the form data should be stored in a WebCMS data storage. This allows you to download the data as a CSV file, which can then be imported into Excel, for example, and further edited (e.g. as a list of participants at an event).
- Is there a registration limit for your form, e.g., for events with limited space? What message should be displayed when the limit is reached? Do you need a second form for a waiting list?
- The registration limit determines how many times the form can be filled out. Once the limit is reached, a corresponding message is displayed instead of the form. If necessary, you can include a link to another form for a waiting list, which can also be limited by a registration limit.
- Please note: However, you have to inform people on the waiting list separately, because only you know how many places have become available or are additionally available.
- The registration limit can be adjusted during the process by web support if necessary. So if more or fewer places become available, you still have flexibility.
- In compliance with the General Data Protection Regulation (GDPR), all forms in WebCMS must be accompanied by a privacy policy notice. This explains which data will be processed and how. We have prepared sample data protection declaration /declaration of consent. Please edit everything to fit your purposes. We kindly ask you to publish it as a content page in WebCMS and share the web URL with us. We will provide a link to the declaration in your form.
After your form is completed, we will let you know so you can check the content. Once you approve it, we will publish the form.
Important information on online forms
Please also note the following tips and information on using the online forms.
- Please take note of the guidelines on data minimization, as stipulated in the General Data Protection Regulation (GDPR Art. 5/1c). Personal data may only be processed if it is necessary, essential and relevant to the purpose. As the responsible person, you must minimize the collection of personal data to what is strictly necessary for the form’s purpose. It is not permissible to collect more data simply because it may be of interest at a later time.
- Keep the form simple! Avoid extensive data collection. Users are reluctant to fill out unclear, complex or long forms.
- Please give your form a clear structure. Separate your form’s query fields according to topic, and please use subheadings.
- Give your form a clear and understandable title. You may consider adding informational text to provide additional clarification about the response fields
Our forms can do a lot, but not everything. Unfortunately, we are not able to implement the following functions:
- We cannot make forms with expandable and collapsible elements according to topic (like the FAQ boxes).
- The permitted number of activations cannot be technically limited for a multiple selection.

No fields can be (de)activated depending on a selection in another field.

A later deregistration or correction of the data cannot be made via the form, but by e-mail to you, for example.

If places become available again in your event due to deregistrations, you must manually notify the people moving up from the waiting list.
Nach dem Anlegen eines Formulars mit Datenspeicher senden wir Ihnen einen Link zu, unter dem Sie die gesammelten Daten jederzeit herunterladen können (Link "Hier klicken, um Ihre Eingabe zu speichern"). Bei Auswahlfeldern steht dabei eine 0 in der Regel für "nein" und eine 1 für "ja" steht.
Gehen Sie wie folgt vor, um die heruntergelande Datei in Microsoft Excel in ein Tabellenblatt zu importieren:
Dateiformat CSV
Bei einer CSV-Datei sind die Werte einer Tabellenzeile durch Komma getrennt abgespeichert.
Öffnen Sie eine (leere) Arbeitsmappe in Excel. Wechseln SIe zum Reiter "Daten" und wählen den Button "Aus Text/CSV". Navigieren Sie auf Ihrem System zum Ordner mit Ihrer heruntergeladenen Datei, wählen diese aus und bestätigen den Button "importieren".
Im Assistenten muss das Trennzeichen "Komma", sowie bei Dateiursprung die Option "65001: Unicode (UTF-8)" ausgewählt sein. Schließen Sie den Import über den Button "Laden" ab. Ihre Daten werden nun spaltenweise angezeigt.
Dateiformat TSV
Bei einer TSV-Datei sind die Werte einer Tabellenzeile durch Tabstop getrennt abgespeichert.
Öffnen Sie zum Importieren eine (leere) Arbeitsmappe in Excel. Wechseln Sie zum Reiter "Daten" und wählen den Button "Aus Text/CSV". Navigieren Sie auf Ihrem System zum Ordner mit Ihrer heruntergeladenen Datei. Erweitern Sie wenn nötig die Anzeige von Textdateien auf alle Dateitypen ("Alle Dateien"). Wählen Sie Ihre Datei aus und bestätigen den Button "importieren".
Im Assistenten muss das Trennzeichen "Tabstopp", sowie bei Dateiursprung die Option "65001: Unicode (UTF-8)" ausgewählt sein. Schließen Sie den Import über den Button "Laden" ab. Ihre Daten werden nun spaltenweise angezeigt.
