Mentoring in the model degree program in human medicine
What makes this study programme unique is the personalised support provided to young doctors by prominent figures from the clinical and scientific communities. As every career path requires different skills and every individual has their own professional background, the one-to-one mentoring programme focuses on supporting each mentee individually in their career development and orientation during their studies. The programme is both clinically and scientifically oriented, aiming to promote the development of students' individual skills, as well as career entry and advancement opportunities in clinical and scientific fields, through informal knowledge and experience sharing. Additionally, the innovative MEDiC mentoring programme concept aims to foster early connections between students and physicians in southwest Saxony.

The mentoring programme comprises various elements:
Application for a higher semester in Medical Studies
Due to the yearly admissions, only the following semesters / clinical semesters are available.
Winter semester:
a) the 1st and 3rd semesters in the pre-clinical phase,
b) the 1st, 3rd and 5th clinical semesters in the clinical phase
and the Practical Year
Summer semester:
a) the 2nd and 4th semesters in the pre-clinical phase,
b) the 2nd, 4th and 6th clinical semesters in the clinical phase
and the Practical Year

As a general rule, an applicant who already was or has been enrolled in the same course at a university in Germany or the European Union will only be matriculated for the next higher semester or clinical semester. As a matter of principle, downgrades are not possible. Applicants for the clinical phase of the medical studies programme should make sure that they first select the overall semester and then the clinical semester in their application (to complete your medical studies within the standard period, this means: 5th overall semester = 1st clinical semester; 6th overall semester = 2nd clinical semester, etc.). The clinical semester is decisive for an application in the clinical phase.
In the online application, all periods of study in Germany and abroad must be specified. Also, please enter already completed intermediate exams such as the First Part of the Medical Exam (Physikum) under “Prüfung” (Examination). Incorrect and incomplete information will lead to the exclusion of the applicant from the allocation procedure.
Allocation criteria – ranking
Admission to a higher semester is governed by § 7 of the “Sächsisches Hochschulzulassungsgesetz” (Saxon Higher Education Admission Act) in conjunction with § 42 of the “Sächsische Studienplatzvergabeverordnung” (Saxon Study Places Allocation Regulations). If study places are available, the allocation is determined by the categories (groups of applicants):
1. Upgrading
2. Applicants changing university / interrupting degree programmes
3. Other applicants (lateral entry)
Within these groups of applicants, ranking will be determined on the basis of academic achievements to date (completed certificates/credits as stipulated by the medical licensing regulations). If the ranking is the same, the place is allocated according to the average grade of the university entrance qualification (German = Abitur) and, if still necessary at this point, by drawing lots.
1. Upgrading:
upgrading requires you to have been admitted to the 1st semester of the respective course of study by the “Stiftung für Hochschulzulassung” (Foundation for Admission to Universities) and to apply in writing to be upgraded on the basis of your academic achievements to date. (There is no official template for this application, the only requirement being that you submit your request in any written form. German = formlos) The application for upgrading must be submitted together with the acceptance of admission for the first semester, the relevant certificates/credits need to be provided.
2. Applicants changing university / interrupting degree programmes:
students from a member state of the European Union who wish to change universities need an official recognition of existing study and examination certificates/credits and need to be placed in a higher semester of their desired degree programme. You may only apply to have your existing study and examination certificates/credits recognised and to be placed in a higher semester at the appropriate “Landesprüfungsamt” (State Examination Office). Please ask them in good time about the procedure, the processing time and any available forms or templates.
3. Other applicants (lateral entry):
if you change your subject or course of study you are regarded as a lateral entrant, as are applicants who have acquired their certificates/credits at a university outside a member state of the European Union. You may only apply to have your existing study and examination certificates/credits recognised and to be placed in a higher semester at the appropriate “Landesprüfungsamt” (State Examination Office). Please ask them in good time about the procedure, the processing time and any available forms.

- the signed application for admission (this application form will be generated in the applicants portal as a pdf for printing after you have submitted your data online). If you are represented by a duly authorised person, the original of the written authorisation document must be produced.
- a copy of the certificate of matriculation or confirmation of studies from the last university at which you studied, detailing degree course and semester
- if additionally annotated “restricted to pre-clinical phase of study” as partial university place, please also submit a copy of the notification of admission by the “Stiftung für Hochschulzulassung” (Foundation for Admission to Universities)
- if additionally annotated “provisional admission”, please also submit a copy of the appropriate notification of the university
- The matriculation certificate of a foreign university has to be submitted in German or English.
- Certificates/credits of academic achievements to date:
- copies of individual certificates or of a complete overview confirmed by the “Prüfungsamt” (Examination Office), if you were already enrolled in the degree programme applied for (continuation of studies) in the area of jurisdiction of the “Grundgesetz” (German Constitution). Please note that only completed certificates/credits as stipulated by the medical licencing regulations and no partial certificates/credits will be accepted.
- a copy of a transfer of credit notice, if your certificates/credits for the course of study that you apply for were achieved abroad or in a course of study in a related field
- a copy of the university entrance qualification (Abitur certificate)
The documents required for matriculation, including certified documents, will only be requested from you when the notification of admission is issued.
Application deadlines and grace periods for later submission of documents
According to § 3 Section 2 of the “Sächsische Studienplatzvergabeverordnung” (Saxon Study Places Allocation Regulations), the application for admission to the summer semester must be submitted by 15 January / for winter term by 15 July. Missing documents may be submitted later, until 21 January for summer term / 21 July for winter term, provided that the application for admission was submitted in time and meets the legal minimum requirements. The deadlines mentioned above are cut-off deadlines. Responsibility for recognising academic and exam certificates/credits
Recognition of certificates/credits (“Anrechnungsbescheid”, transfer of credit notice) for applicants with German citizenship who transfer from abroad or from a course of study in a related field: “Landesprüfungsamt für Akademische Heilberufe” (State Examination Office for Academic Health Professions) at the applicant’s place of birth

Als Mentor:innen fungieren Wissenschaftler:innen oder Ärzt:innen als Vorbilder und Führungspersönlichkeiten, die Erfahrungs- und Handlungswissen über Strukturen und Prozesse in vertrauensvollen Gesprächen weitergeben. Sie beraten die Mentees individuell bei Fragen zu ihren Karriereoptionen, der Planung ihrer nächsten Karriereschritte oder zu aktuellen beruflichen Herausforderungen. Gemeinsam erarbeiten Mentees und Mentor:innen Lösungsansätze und Umsetzungsmöglichkeiten. Auch das Erschließen von Netzwerken und die Schärfung des eigenen klinischen und/oder wissenschaftlichen Profils ist ein wichtiger Bestandteil des Mentorings.
Die Dauer der Mentoring-Beziehung ist in Abhängigkeit zur Programmlaufzeit zeitlich begrenzt. Innerhalb dieses Zeitraums findet ein regelmäßiger, selbstorganisierter Kontakt statt, in der Regel von den Mentees initiert. Die Modalitäten der Mentoring-Beziehung werden zwischen Mentee und Mentor:innen individuell abgestimmt. Wichtige Voraussetzungen für das Gelingen einer Mentoring-Partnerschaft sind eine konkrete Zieldefinition, gegenseitiges Vertrauen und Verbindlichkeit.
Das Mentoring ist als Ergänzung zur fachlichen Beratung der wissenschaftlichen Arbeit zu verstehen. Wichtig ist, dass zwischen Mentor:innen und Mentee weder Abhängigkeit noch Weisungsbefugnis bestehen.
Matching: Wie finden Mentor:in und Mentee zusammen?
Mit dem Profilbogen geben die Bewerber:innen eine erste Idee für eine Mentorin oder einen Mentor an. Im Matching-Prozess sucht die Programmkoordinatorin ein passendes Match für jeden Mentee individuell entlang der persönlichen Beratungsanliegen, Kriterien und Programm-Ziele raus. Steht die Auswahl, stellt die Programmkoordinatorin Kontakt zu den jeweiligen Persönlichkeiten her. Stimmen diese zu, klären Mentor:in und Mentee in einem Vorgespräch ihre Vorstellung über die Zusammenarbeit. In einer schriftlichen Vereinbarung werden Arbeitsziele und Rahmenbedingungen festgehalten.
Tandem-Beratung
In Fragen rund um das Mentoring-Tandem steht die Programmkoordinatorin gern beratend zur Seite. Dabei könnte es um folgende Anliegen gehen:

Neu-Matching.
Das MEDiC-Mentoringprogramm bietet eine strukturierte Qualifizierung für Mentor:innen und Mentees. Mentor:innen absolvieren ein Trainingsmodul zu Kommunikation und ihrer Rolle im Mentoringprozess. Mentees werden in Workshops gezielt auf ihre Rolle vorbereitet. Beide Seiten profitieren von einem Rahmenprogramm mit Seminaren, Austauschformaten und individueller Begleitung.
Durch Veranstaltungen, regelmäßige Treffen sowie unseren Support bauen Sie gezielt Ihr Netzwerk auf.
Anhand von einheitlichen Ausgangs-, Zwischen- und Endevaluationsbögen aus der Perspektive der Mentees und Endevaluationsbögen aus der Perspektive der Mentor:innen werden kontinuierlich die Programmqualität und die Programmeffekte erfasst, aufbereitet und ggf. nachgesteuert. Neben schriftlichen Evaluationen gibt es Feedbackgespräche und ein Abschlusstreffen mit den Mentees (Erhebung Ziele/ Zufriedenheit/ Mentoring-Verlauf) sowie telefonische Abschlussgespräche mit den Mentor:innen statt. Die dabei erhobenen Daten dienen der Projektevaluation.
Ziel ist es langfristig das Projekt sowie die Evaluationen wissenschaftlich zu begleiten.

How can you become a mentor?
As a mentor, you will supervise up to five medical students on a personal level. You will advise and support them through their studies and help them develop a fulfilling professional life. The mentor and mentee meet in person at least three times per semester. Otherwise, mentors are available to answer questions by email or telephone.
The mentees choose the topics they would like to discuss for the meetings. They will inform you of their chosen topic in good time, and will prepare for and follow up on the meetings. You can apply here or simply use the QR code.
