What personal data is processed and for what purposes?
- Surname, first name, degree program, e-mail address, Institute/ Faculty:
- Sending information in advance
- Creation of participant lists, creation of certificates of participation if necessary, information on organizational changes/waiting lists
- Adapt workshop content if necessary
- Evaluation after the event
- Transfer to the exclusion list in the event of non-attendance without prior deregistration
Additional use for events:
- TUD-internal billing of material costs, e.g. catering
- Creation of name badges
- For excursions, forwarding to practice partners for their preparation and billing of material costs.
- CVs, cover letters, information relevant to career entry
- Processing as part of the consultation with the person who provided the data
- Gender, date of birth, country of birth, field of study and intended academic degree (BA/MA/PhD)
- Collection and processing on a voluntary basis for the purposes of counseling, application, implementation and proper accounting of funding projects

What is the legal basis for the processing of personal data?
The legal basis for the processing of personal data is Art. 6 para. 1 subpara. 1 lit. a and, if applicable, Art. 9 para. 2 lit. a GDPR (consent).
How long is personal data stored?
Unless otherwise agreed, the data will be stored for up to 2 years after the event.
For the purpose of billing costs such as catering, the first and last names of participants are stored in accordance with the statutory retention periods.
In the case of funded projects, the storage period depends on the funding regulations of the funding body.
This does not affect the legality of processing based on consent until it is withdrawn.
Who has access to the personal data and is data transmitted to or processed by third parties?
At TU Dresden, access to personal data is as follows:
- Surname, first name, degree program, e-mail address, Institute/ Faculty, CVs, cover letters, career entry-relevant information
- Employees of the Career Service
- For workshops and lectures: Surname, first name, degree program, e-mail address, Institute/ Faculty
- Employees of the Career Service
- Employees of cooperating institutions and lecturers as part of the verification of attendance
- For excursions: First and last name, degree program of the participants
- Employees of the practice partner (company, public or non-profit institution, internal or non-university research institute) for whose excursion the student has registered.
- Gender, date of birth, country of birth, field of study and intended academic degree (BA/ MA/ PhD/ Diploma)
In the case of funded projects, the conditions of the funding body apply:- If the European Commission (EC) is the third-party funding body, the respective grant agreement of the EU project as well as the data protection information published on the EC homepage are decisive - available at: https://ec.europa.eu/info/funding-tenders/opportunities/portal/screen/support/legalnotice (last accessed on 01.10.2024, 4 p.m.).
- If the German Academic Exchange Service e. V. is the third-party funding body, the DAAD's data protection regulations apply: https://www.daad.de/de/datenschutzerklaerung/
- We would like to point out that data transmission, especially by e-mail, via the Internet is currently largely unsecured. It cannot be ruled out that transmitted data may be read and possibly even falsified by unauthorized persons.
- NOTE: Contact by encrypted e-mail (external senders only): https: //securemail.tu-dresden.de
- Senders with an e-mail address ending in tu-dresden.de should use the S/MIME certificates of the DFN-Verein for encryption.
- Your personal data will not be published.
What rights do data subjects have?
- Voluntariness and revocation according to Art. 7 para. 3 GDPR
The provision of personal data is voluntary. Consent to the processing of personal data can be revoked at any time in accordance with Art. 7 para. 3 GDPR. In this case, your data will be deleted within a reasonable period of time, but at the latest after 4 weeks. To do so, please send an informal email to career.service@tu-dresden.de. In this case, participation in the event is not or no longer possible and your data will be deleted. If you withdraw your consent after the end of the event, your data will be deleted, provided there are no legal grounds to the contrary. - Right to information (Art. 15 GDPR)
You have the right to request information about the personal data processed about you and the possible recipients of this data at any time. You are entitled to a response within one month of receipt of the request for information. - Right to rectification, erasure and restriction (Art. 16 - 18 GDPR)
You can request that TU Dresden rectify or erase your personal data or restrict processing at any time. - Right to data portability (Art. 20 GDPR)
You can request that the controller transmit your personal data to you in machine-readable form. Alternatively, you can request the direct transfer of the personal data you have provided to another controller, insofar as this is possible. - Data Protection Officer and supervisory authority for data protection
