SecureMail - encrypted e-mail communication with third parties

Important note:
The SecureMail service is not suitable for exchanging encrypted e-mails within TU Dresden (ZIH account).
This concerns the e-mail communication with recipients who already have an e-mail address at the TU Dresden (@tu-dresden.de, @mailbox.tu-dresden.de)
Utilisation procedure (preferred):
- Ask your communication partner to register at https://securemail.tu-dresden.de and confirm this procedure. This can be done by unencrypted e-mail or by other means (e.g. by telephone). Registration is necessary only once! If your communication partner has already registered, this step is no longer required.
- If you want to send encrypted e-mails to your communication partner, please start the subject line by adding [+securemail] (example: “[+securemail] my subject text“) to your mails (Mail-Client or WEB-Mail access possible).
- If you use Outlook, you can also use an add-in, which you can download here. After installation, an additional button will appear in your Outlook, in your upper left corner. If you use this before sending your mail, the aforementioned addition in the subject line can be omitted.
- Send your e-mail as usual.
- After your communication partner has read the e-mail, you will automatically receive a digitally signed read receipt.
- An incoming response from your communication partner via the SecureMail portal is marked with the addition [securemail] in the subject line of the e-mail. It is easily possible to forward this message within TU Dresden as you are used to.

Important note:
The SecureMail service is suitable for exchanging encrypted e-mails with TU Dresden.
Only e-mail addresses ending with @mailbox.tu-dresden.de or @tu-dresden.de are authorised as receiving addresses. Your address, which you use when sending, is optional but may not end as stated above.
The SecureMail portal of TU Dresden is available at https://securemail.tu-dresden.de
Utilisation procedure (preferred):
- Registration (only once and initially necessary!)
- Register in the SecureMail portal before starting the communication process with members and associate members of TU Dresden (Please note: Please read carefully the terms of use when registering!).
- After registration, you will automatically receive an e-mail with a confirmation link (Please note: All e-mails received via the portal or from the address securemail@tu-dresden.de are digitally signed. Please pay attention!).
- From now on, you can use the portal´s functionalities for communication with all partners within TU Dresden with your login and password on a continuous basis and without time limitation. A re-registration is not required!
02. Use
- Send an e-mail
Log in to the SecureMail portal of TU Dresden with your e-mail address and password, write your e-mail (attachments up to a size of 17 MB possible) and send it to you communication contacts or to any other recipient within TU Dresden. - Receive an e-mail
If you receive an encrypted e-mail from an address of TU Dresden via the portal, it is provided with the text (example) “You have received an encrypted e-mail from Max Mustermann <max-mustermann@tu-dresden.de> Subject: subject text“. - The encrypted message is hidden in the attachment (HTML) to this e-mail. Download the attachment to your local hard disk and open it by double-clicking on it. A web page opens with a button that takes you to the portal and asks you to enter the e-mail address and password that you entered when you registered. You can now read the e-mail in the SecureMail portal and reply to it directly.

Service description
All members and associate members of TU Dresden are given the opportunity to use SecureMail in order to conveniently communicate via encrypted e-mail with third parties (especially research and co-operation partners) who do not have digital encryption keys. The encrypted e-mail always remains in the recipient´s possession and the recipient always has access to it. The e-mail can always be decrypted and answered in encrypted form by the recipient on the SecureMail portal. There is no permanent storage of the encrypted e-mails on the decryption platform. This solution significantly simplifies the possibilities for encrypted communication at TU Dresden and meets the legal requirements of the Saxon E-Government Act (SächsEGovG). In particular, access to electronically signed and encrypted documents is created. The SecureMail service is based on the patented solution (GINA technology) of a Swiss software manufacturer. The Unit Information Security provides the SecureMail service for employees, students, research and co-operation partners as well as other communication partners.
- Encrypted communication for members and associate members of TU Dresden with third parties who do not have digital encryption keys.
- The e-mails are always decrypted in the SecureMail portal and there is no storage of the decrypted e-mail in the portal.
- Guests and third parties can on their own generate an account in the SecureMail portal in order to send emails (including attachments) to members and staff members of TU Dresden in encrypted form.
An application is not required. The service is available for all employees and members of TU Dresden and their potential communication partners. External communication partners are obliged to register in the SecureMail portal to use the service.

The service is free of charge for all users.
The service is available for all members and associate members of TU Dresden without registration, for external communication partners after registration.

The operation of the service and troubleshooting is done according to the "Best Effort" principle, i.e. a problem-free operation or a rapid problem solving is the aim. However a high availability or a pre-determined solution time cannot be guaranteed.
