For what purpose will personal data be processed?
Personal data will be processed exclusively for the purpose of organizing, conducting, and following up on the symposium. This includes, in particular, the creation and management of the list of participants, communication related to the event, and the organization of individual program items.
If you submit a proposal, your personal data will also be processed to manage your submission, as well as to plan and carry out the program. The documents you upload will be used exclusively for these purposes.
Whether you consent to or decline to be included in photo and video recordings, your response will be processed for the purpose of organizing and producing the event documentation.

What is the legal basis for the processing of personal data?
The legal basis for the processing of personal data is Art. 6 Para. 1 Letter a) GDPR (consent) – the use of the service and consent to the associated processing of your personal data are voluntary.
What personal data will be processed?
The participant registration form processes the following personal data and event-related information associated with the individual : First and last name, academic title (if provided), email address, organization/institution, occupation or professional role, days of attendance, participation in the group dinner, dietary restrictions, event source, and the consent or refusal regarding photo and video recordings taken during the event.
The form for submitting contributions processes the following personal data and event-related information associated with the individual : first and last name, academic title (if provided), email address, organization/institution, and occupation or professional role; title and type of the submitted contribution; information on additional contributors; keywords; abstract; short biography; and uploaded documents (e.g., PDF files).
This does not affect the lawfulness of the processing based on consent until such consent is revoked.
How long is personal data stored?
Personal data is stored only for as long as is necessary for the organization and administration of the submitted contributions, as well as for the conduct and, if applicable, the follow-up of the event. Once the event has concluded and the purpose of processing no longer applies, the data will be deleted, provided that no statutory retention requirements preclude this.
The withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal.
Will personal data be transferred to recipients? Who at TU Dresden has access to this data? Will data be stored by third parties?
Unless stipulated otherwise by law or unless you have given your express consent in individual cases, no personal data will be transferred to third parties.
What general rights do data subjects have?
- Voluntariness and withdrawal of consent according to Art. 7 Para. 3 GDPR
The submission of personal data is voluntary. Consent to the processing of personal data may be withdrawn at any time pursuant to Art. 7 Para. 3 GDPR. The personal data of the person in question will no longer be processed. - Right of access by the data subject (Art. 15 GDPR)
Data subjects have the right to obtain information on the data processed concerning them, as well as possible recipients of such data, at any time. They are entitled to a reply within one month after the responsible party receives the request for information. - Right to rectification, erasure and restriction of processing (Art. 16–18 GDPR)
Data subjects may request that TU Dresden rectify, erase or restrict the processing of their personal data at any time. - Right to data portability (Art. 20 GDPR)
Data subjects can request that the responsible party transfer their personal data back to them in a machine-readable format.
