Official seals are stamps used by authorities to confirm and authenticate documents.
At TUD Dresden University of Technology, the Unit General Administration is responsible for the procurement, issue, redemption (withdrawal), inventory control and, if necessary, destruction of the official seals kept at TU Dresden. In this context, it is also responsible for reporting the loss of official seals and for inquiries regarding the authenticity of documents sealed at TU Dresden.
Further details on the use and handling of official seals are regulated in TU Dresden's official seal regulations. The design of TU Dresden's official seals is defined in the Saxon Administrative Regulation (VwV Dienstsiegel). Each official seal exists only once and can be identified by a character code.

Applying for official seals
The authorization to use the official seal is bound to the office or function. In accordance with TU Dresden's official seal regulations (point 3), a distinction is made between the use of the official seal by virtue of office and by appointment by the Chancellor on the basis of the function or activities performed.
The official seal keeper acting or appointed by virtue of their office may, on their own responsibility, appoint deputies to act as their official seal keeper. These should be their official or functional deputies.
Signature services in connection with an official seal impression may only be performed by the official seal keeper or his or her deputy appointed on record.
If a person in an organizational unit requires a new official seal due to the assumption of a specific function or activity, an application must be submitted to the official seal administration (informally, by email to ) with reference to the function and intended use. An application must also be submitted if, due to a change of function, it is intended that an already issued official seal will be taken over by another employee.
If there is to be a change in the use of an official seal issued by virtue of the office in connection with a new election or similar, the SG General Administration must be informed.
Use of official seals
The use of official seals at TU Dresden is subject to strict standards. Official seals confer validity, special significance and value to contracts, certificates and other documents produced at TU Dresden. In addition, copies of documents produced at TU Dresden are authenticated using the official seal.
Service seals must be protected against access and misuse by unauthorized persons and against possible loss and must be stored for this purpose in a lockable compartment, cabinet, safe or similar. The service seals are fragile and must therefore be handled with care.
Changes of any kind in the use of the official seal and in the deputy regulations (change of function/activity, office, name or contact details, departure from TU Dresden, etc.) must be reported to the Official Seal Administration without delay.
Indistinct stamp impressions are often due to the stamp pad being too wet and too much stamping ink being absorbed. In this case, we recommend "dry stamping" and a test stamp impression before the actual document is sealed. A toothbrush can be used to clean any sticky spaces between the stamp surface.
If the stamp image remains unclear or has gaps, the Official Seal Administration must be informed. Excessive damage may invalidate the official seal. The official seal may have to be destroyed and replaced.
The loss of an official seal must be reported immediately to the Official Seal Administration. The official seal will be declared invalid, if necessary retroactively from the time of the last verifiable use, among other things by publication in the official announcements of TU Dresden.
Return of official seals
Changes of any kind in the use of the official seal and in the deputy regulations must be reported to the official seal administration. Official seals that are no longer required must be returned immediately. Discharge is granted from the rights and duties associated with the use of the official seal. If an official seal is to be handed over to a person succeeding in office/function, the Official Seal Administration must be informed.
