For what purpose will personal data be processed?
Personal data will be collected in order to counsel prospective students and students before they begin their studies (e.g., for study orientation) and during their studies (e.g., if they have doubts about their studies or need help planning their studies). Counseling can also be provided online. In addition, we use personal data to run workshops both in person and online. Our workshops aim to provide prospective students with the information they need to make an informed decision about their studies and to help current students develop the skills they need to succeed. The data will be collected during registration for the counseling session or workshop and will be used for participant management purposes.

What is the legal basis for the processing of personal data?
The legal basis for the processing of data for the aforementioned purposes is Art. 6 para. 1 and subpara. 1 lit. a GDPR (Consent).
What personal data will be processed?
When registering for counseling, a telephone number or email address is collected, and, if necessary, a note regarding the topic to be discussed during the counseling session.
When registering for workshops, prospective students will be asked to provide an email address and, if applicable, a note indicating the topic of the consultation.
Students who wish to participate in workshops must register either via OPAL or by email. The data stored in OPAL (institution, last name, first name, degree program, email address) will be collected for the purpose of organizing the event (creating participant lists, providing information about organizational changes/waiting lists). When registering by email, participants provide us with the following information (institution, last name, first name, degree program, email address).
At the end of each event, we will ask you to fill out a survey to help us evaluate the workshop. The survey will be conducted anonymously. If fewer than ten people participate in a workshop, meaning that anonymity regarding the information provided can no longer be guaranteed, participants will be informed of the limited anonymity of the data set. You are free to decide whether or not you wish to participate in the evaluation.
How will personal data be processed and how long will it be stored?
Data collection by the study advisors or workshop leaders will be carried out on a personal basis. As a result, it is possible to draw conclusions about specific individuals on the basis of the data collected.
Only employees of the Central Student Advisory Service have access to the data. The data will be stored on the internal drive of the Central Student Advisory Service (workshops) and in the internal Outlook calendar (consultation appointments). Your personal data will be deleted as soon as it is no longer needed for the purposes mentioned above (for counseling: at the end of the month at the latest; for workshops: at the end of the semester at the latest).
Will personal data be transferred to third parties?
Unless stipulated otherwise by law or unless you have given your express consent in individual cases, no personal data will be transferred to third parties.
The video conferencing tools BigBlueButton and Zoom will be used to conduct the consultations and workshops online. No personal data will be published.
What general rights do data subjects have?
Voluntariness and withdrawal (Art. 7 para. 3 GDPR)
The submission of personal data is voluntary. You can refuse or withdraw your consent at any time without stating a reason to the person responsible for the data. As a result, your personal data will not be processed any further. The withdrawal shall not affect the lawfulness of the processing that took place before consent was withdrawn.
Right of access to personal data (Art. 15 GDPR)
You have the right to obtain information on the data processed concerning your person, as well as the potential recipients of this data, at any time. You are entitled to a reply within one month after the responsible party receives the request for information.
Right to rectification, erasure and restriction (Art. 16-18 GDPR)
You may request that TU Dresden correct or erase your personal data and/or restrict its processing at any time.
Right to data portability (Art. 20 GDPR)
You may request that the responsible party send you your personal data in a machine-readable form. Alternatively, you can request the direct transfer of your personal data to a different responsible party, insofar as this is possible.
Right to lodge a complaint (Art. 77 GDPR)
You can contact TU Dresden's Data Protection Officer at any time and, in the case of a complaint pursuant to Art. 77 GDPR, the responsible supervisory authority for data protection.
