For what purposes should personal data be processed?
With the establishment of the Graduate Academy (GA), the TU Dresden (TUD) aims to support its early-career researchers during the doctoral and postdoctoral phase comprehensively and individually. The aim of the GA is to create optimal framework conditions for doctoral candidates and postdocs across the university in order to qualify them for outstanding positions in science, business and society. The data listed below is collected for the application procedure for the Saxon State Scholarship of the Free State of Saxony, for which the GA has been administratively commissioned.
The application is open to members of the GA but also to other persons who are interested in doing a doctorate at the TUD or are already doing so and are looking for funding for this period.

What is the legal basis for the processing of personal data?
The legal basis for the processing of personal data is Art. 6 para. 1 lit. a) GDPR (consent), i.e. the use of and consent to the associated processing of your personal data are voluntary.
What personal data is processed?
In this form, the following data is collected and subsequently processed electronically by the GA of the TUD, exclusively for the above-mentioned purposes:
Surname, first name, gender, e-mail address, address, date and country of birth, nationality, faculty, Department, start and end of doctoral phase, details of last university degree incl. academic degree and overall grade, name of main supervisor, institution of main supervisor, university certificates, participation in structured doctoral program, details of current funding, CV, details of children, details of previous funding, research exposé.
How long will personal data be stored?
The data will be deleted electronically as soon as it is no longer required for the application process or the consent to collect the data has been revoked. The data of scholarship holders in receipt of funding will be retained/stored for the duration of the scholarship and in accordance with the regulations and requirements of the funding body. After completion of the funding, the data is archived for six years in accordance with the legal requirements and the regulations and requirements of the funding provider. After archiving, access is only granted if there is a legitimate interest following explicit authorization. This does not affect the legality of processing based on consent until revocation.
If personal data is transmitted to recipients, who at TU Dresden has access to this data and is data collected from third parties?
For the selection procedure, the application documents with the data are sent to
the Executive Board of the GA for the funding decision. After the selection procedure has been completed, all documents are sent by post to the Studentenwerk Freiberg, which sends out the rejections and acceptances and is responsible for the administration of all funded scholarship holders.
In the event of funding, the data will be processed by the Studentenwerk Freiberg in accordance with § 4 paragraph 1 of the Law on Funding Databases in the Free State of Saxony in a uniform state funding database for the purpose of ongoing analysis of funding practice, the exercise of legal and technical supervision and the avoidance of unlawful funding. What rights do data subjects have in principle?
- Voluntariness and revocation according to Art. 7 para. 3 GDPR
The provision of personal data is voluntary. Consent to the processing of personal data can be revoked at any time in accordance with Art. 7 para. 3 GDPR with the consequence that the personal data of the person concerned will no longer be processed. - Right to information (Art. 15 GDPR)
Data subjects have the right to request information about the personal data processed about them and the possible recipients of this data at any time. They are entitled to a response within one month of receipt of the request for information. - Right to rectification, erasure and restriction (Art. 16 - 18 GDPR)
Data subjects can request the TU Dresden to rectify, erase or restrict the processing of their personal data at any time. - Right to data portability (Art. 20 GDPR)
Data subjects may request that the data controller transmit their personal data to them in a machine-readable format. Alternatively, they may request the direct transfer of the personal data provided by you to another controller, insofar as this is possible. - Data Protection Officer and supervisory authority for data protection
