Sending and receiving e-mail worldwide, maximum size e-mail 30 MB, attachments 21 MB, spam rating in header line, rejecting messages containing viruses, more details here

Exchange:
Receiving & sending e-mail, mailbox access via web: https://msx.tu-dresden.de, also S/MIME encrypted e-mail (IE), contacts, virus protection, spam filter, calendar, task management, office notifications routing, synchronization with mobile devices, assignment of acces privileges, sending "on behalf of", "send as", address books, task lists, integration with MS Office, synchronization with mobile devices via ActiveSync.
Storage space for e-Mail: Student: 1 GB, employees: 1 GB, maximum size: e-mail 30 MB, 21 MB attachments.

Requests for redirection and incoming e-mail notification:

In order to receive a notification about incoming e-mails to the TU Dresden e-mail account or to get these forwarded, a request for redirection or e-mail notification has to be registered at the Self Service Portal (https://selfservice.zih.tu-dresden.de/l/index.php/idm_redirection_portal/register) prior to leaving the university.

The personal e-mail addresses are automatically generated in the IDM-System. If there is a mistake in name translation, please contact the relevant office personnel.
A self-assessment of your personal TUD e-mail address is possible through the Self Service Portal.

In justified cases, it is possible to supplement your personal e-mail address with yet another personal e-mail address. In such cases, the additional e-mail consists only of a name duplication using an attached extension serial number. To inquire about these arrangements and their implementation, please contact the Service Desk at the ZIH.

The processing, storage, and use of all data is subject to the applicable legal regulations including the provisions on data protection and the IT regulations of the TU Dresden.

Notes on attachments

It may happen that file attachments cannot be transported for various reasons (files are too large or type of file is considered to be potentially virus-laden) and thus e-mails cannot be sent. In such cases, the ZIH recommends using the Datashare service to distribute such file attachments. Information on file exchange can be found here

Encryption / Digital Signature / PKI /SecureMail

S/MIME allows for secure communication. Messages are encrypted so that only the sender and the receivers can see it. In adition, the identity of a sender can be checked using a digital signature. Together, both will help in the discovery of manipulations and allows the recipients to determine if the message is really from the sender or if it is, for example, a fraudulent phishing mail.

Since July 2006, the ZIH of the TU Dresden uses the PKI (Public Key Infrastructure) of the German Research Network and provides within the realm of certification, advanced certificates, which means the most sophisticated electronic signatures is used. You can apply for user certificates in the Self Service Portal in user certificate management.

Set up email encryption in the mail program

If you want to communicate encrypted with research and cooperation partners who do not have a digital key material, you can use SecureMail from 11th September 2017 onwards. For more information, click here.

How do I set up mail filters for email clients?

Outlook and OWA: Mail filtering is preset there. In OWA, this can be switched off or on again in the options under "Block or allow".
In Outlook, spam mails are also filtered automatically and, if necessary, moved to the "Junk" folder. You can additionally create a rule that uses the classification of the TUD mail gateway. The more stars (*) a mail gets, the more likely it is spam. You can find instructions here.

Procedure when leaving the TU Dresden (Redirection Requests)

Together with the ZIH user account, the e-mail will expire as soon as the respective user is no longer an empolyee of the TU Dresden (by end of the contract), a student (through de-registration) or a guest (by the end of the guest ratio). Expired ZIH user accounts are locked after a 14-days grace period, and are deleted after 15 months.

According to TU Dresden's IT-Ordnung (§18 (10)) employees having left this university may forward incoming e-mails for scientific reasons to another destination, if they register a request for a fixed-term redirection at the Self Service Portal (https://selfservice.zih.tu-dresden.de/l/index.php/idm_redirection_portal/register). The employee can only register within the 14-days grace period. Afterwards, such request is administered by the Service Desk. If a notification about incoming e-mails is sufficient, such request can also be registered at the Self Service Portal (https://selfservice.zih.tu-dresden.de/l/index.php/idm_redirection_portal/register) within the given grace period. This option is also provided for non-scientific staff. A user manual is provided there.
