Terms of use MS Sharepoint
The basic service of SharePoint is based on Microsoft Sharepoint. It provides simple file storage with central data storage, version management and permissions management, and a full text search function. This functionality is povided in available site collections (website collections) that are administered locally (site administrators). This service can be used by all members of the TU Dresden for official duties.
The head of the structural unit or the project manager is responsible for the factual and legal sense while the technical responsibilities can be delegated. Technical contacts (site administrators) will be nominated by the head of the structural unit or the project manager. ZIH has to be informed if changes occure.
In order to use this service, one needs a ZIH login. The ZIH cautions that with this basic service, no anonymous acces and no public Internet-presence is given. The service is approved for data with a high protection requirement if the site administrator has made the appropriate preparations. In the case of high protection requirements and the processing of personal data, it is recommended to document the use of SharePoint in a data protection concept. The data protection officer's template is recommended for the data protection concept. If you have any questions about the template or require advice, please contact the data protection officer. Likewise, the service cannot be used as storage for large amounts of data such as image galleries, video collections or data backups.
The basic service is provided via site collections (Team or Project sites) and includes the following functions:
- Document storage with reliable, fast and secure access going out and coming in
- Wiki, calendar, task scheduling, blogs
- Websites, appointments, contacts, lists
- Version management
- Document blocking and locking
- Full-text search / indexing
- Standard Quota 5GB
- System Backup to restore (Snapshots)
- 30 Days storage of deleted files in the Recycle Bin
The site collections (team or project sites) are created by ZIH according to the customer's requirements and, if necessary, after a call, and then managed by the IT managers of the unit. Multiple site collections and substructures are possible for each unit. The IT advisor of the unit and the site administrator are responsible for the sites and for ensuring that measures are taken to prevent data loss before employees leave. The same applies to central units and administration.
