Mail examination management 20.03.2020
Examination management at the School of Civil and Environmental Engineering
At the moment all of us try to answer the questions coming up with the action taken to deal with the expansion of the corona virus. Until cancelled but at least until the beginning of lectures, seminars etc. in teaching rooms at TU Dresden we suggest / implement for the examination management at the School of Civil and Environmental Engineering the following practice:
Meetings of the examination board
- Meetings of the examination board shall still be held – virtually – to enable prompt decisions in uncertain times for students.
- Hence, applications shall still be submitted and have to be in due time submitted informally via e-mail (TUD address).
Final thesis (Bachelor, Master, Diplom thesis)
- Extended deadline: extending the deadline of final thesis will be handled generously. There shall be no disadvantage for you. In all cases we need an individual informal application via e-mail to the examination office noticed by the examiner/advisor.
- Reconcilement with the examiner/advisor and restoration of the thesis topic: In case the use of university facilities (laboratories etc.), other institutional facilities or the library (not digitally available journal articles, books etc, archive) is necessary or the thesis is e.g. dependent on interviews relying on direct interaction, please contact your examiner/advisor of the thesis and discuss the possibilities in adapting the thesis problems. If you come to the conclusion that a deadline extension doesn´t make sense and a further workung on the thesis under these conditions is not possible (especially problematic when working abroad for your thesis) your thesis topic can be restored without losing a retest/an attempt. This is valid even if the restoration deadline is exceeded. In this case we need an informal application via e-mail and a statement of the examiner/advisor to the examination office.
- Application for the final thesis (Compulsary application to be considered)
- Compulsary applications for the final thesis are suspended for now.
- In case you want to or consider it necessary to applicate for a final thesis: applicate and on grounds of a decision of the examination board the examination office will hand you out the topic via e-mail (normal application procedure but digitally processed).
- The date of handover is the date of the e-mail.
- The current situation has to be considered, i.e. the possibilities to work on a thesis shall thoroughly be evaluated. In case there is any doubt about it, the handover of a thesis topic should be postponed until after the pandemic.
- Delivery of final thesis: final thesis may be delivered by post. Under the current circumstances the preferred delivery to secure deadlines shall be as pdf-files. To hand in even extensive thesis you may use the cloudstore of TUD (for instruction see https://tu-dresden.de/zih/dienste/service-katalog/zusammenarbeiten-und-forschen/datenaustausch/cloudstore/datei?set_language=en) Please send the approval of the links to both the examiner and the examination office. ATTENTION: for Buisness and Economics the statement made by the faculty with a circular letter to their students (19th March 2020, 09:46) on this matter holds. To comply with the necessary written form of the thesis it is sufficient to hand in the printed version when possible for you. When mailing the thesis by post, the postmark for outgoing mail is accepted ensuring the deadline.
- Colloquium/Defense: After delivery of the final thesis as pdf-file and a positiv evaluation of both the examiner the colloquium/defense may take place, although a print version has not yet been handed in. When agreed between student and examiner the colloquium/defense can be handled in an appropriate virtual way. Otherwise it shall be postponed until the reopening of the universities teaching programme. A decision is taken independently by each chair in agreement with you.
- For thesis of state examinations the regulations of the LASUB hold.
Examinations
- Written examinations being present are generally postponed (see letter of the crisis management group for corona, 16th March 2020).
- For other written exams without being present (projects, term papers, course work etc.) the following holds:
Examiner may extend the deadline which had been set according to the examination regulations when given the topic to the students (2 to 3 weeks after the reopening of e.g. the SLUB may be a reasonable new deadline).
- Registration/deregistration for/of examinations
- The registration for course-related examinations takes place as usual. This is possible without any contact via selma/HIS. As the case arises within the emergency mode each faculty will decide individually about an alternative form of registration. Information will be given on the websites of the examination offic.
- Examination boards will timely decide about possible extensions of the registration deadlines for course-related examinations – please inform yourself on the websites of the examination office.
- Deregistration of course-related exams: Only deregistration deadlines decided on already by the examination boards hold (at the moment e.g. at the faculty of architecture…) – information on the websites of each examination office.
- Registration/deregistration for exams within the examination period at the end of the summer semester will be decided on läter.
- Updated information is found on the websites of each examination office.
- Withdrawal from exams (deregistration when ill) is possible by an informal e-mail to the examination office – a „yellow“ sick certificate is accepted thereafter, please send it by post.
Please stay informed and check the pages of TU Dresden regularly for further commitments of the University Executive Board and Crisis Management Team à https://tu-dresden.de/tu-dresden/gesundheitsmanagement/information-regarding-covid-19-coronavirus-sars-cov-2
We are all anxious and interested to find the best solution for all of us. Nevertheless in situation like this there will be problems or delays. We hope for your understanding and thank you for your participation in a situation like this.
During the emergency operations mode the examination offices and the rest of our team will be not reachable. Please contact us via E-Mail. There should be an almost unlimited accessibility.
Please take care of yourself and stay healthy.
