Publication Guideline of TU Dresden
The TUD Dresden University of Technology and its researchers are recognized nationally and internationally for their research achievements. The basis of all successful scientific work at TU Dresden are the principles anchored in the Statutes for Ensuring Good Scientific Practice, for Avoiding Scientific Misconduct and for Handling Violations (GWP Statutes. Among the most important indicators of scientific output are publications and citations, which are represented in relevant databases. It is therefore in the interest of the authors as well as the university that publications and citations can be clearly assigned and referenced in relevant databases. Therefore, a clear, correct and complete assignment of a publication to the respective author and to the TU Dresden is indispensable. If the institutional affiliation is missing or incorrect, the publication cannot be assigned and thus cannot be acknowledged as an achievement of the individual or the university by the scientific community or be taken into account in benchmarking analysis.
In order to further increase the visibility of the TU Dresden‘s overall research profile, the university’s publication output is compiled with the help of relevant databases in the in-house Research Information System (FIS). Selected content is thus made available to the general public in aggregated form via the connected public TUD Research Portal and by embedding it into the TU Dresden websites. This provides the best possible representation of the researcher's personal track record and improves the reputation of the University in institutional benchmarkings („rankings“).
The publication guideline must be applied by all members and affiliates of the TU Dresden with a first or second affiliation to the TU Dresden
This publication guideline becomes effective with the University Executive Board’s approval dated 13.06.2023. The publication guideline of 31.07.2018 thereby cease to be valid.

Publications within the scope of this guideline are all forms and formats of publicly accessible research results, such as articles in journals, conference papers and other written documents and works, but also published research (primary) data, research-related social media contributions, and non-textual works such as exhibits, software codes and other audiovisual media.
In addition, the guideline applies to the transfer of research results to business and society, in particular to patents and other intellectual property rights. The standardized affiliation statement also applies to the presentation of research results at conferences and congresses, e.g. in the context of lectures or posters, as well as to research proposals submitted to third-party funding bodies.
The publication guideline is mandatory for TU Dresden including the university medicine (Medical Faculty and University Hospital Carl Gustav Carus). All scientifically active members and affiliates with first and/ or second affiliation to the TU Dresden including the university medicine are obliged to adhere to the requirements of this guideline in all their publications.
An affiliation to TU Dresden exists for all members and affiliates of TU Dresden including the university medicine according to § 6 of the fundamental principles of the TU Dresden:
- Professors, including joint appointees,
- Honorary, Visiting and Adjunct professors,
- Group leaders with the status of TUD Young Investigator,
- Scientific and other academic employees,
- Postdocs and doctoral candidates (from acceptance as doctoral candidates at a faculty of the TU Dresden) with and without employment at TU Dresden,
- Employees in technology and administration as well as
- Students at TU Dresden, if they are authors of publications.

For the design and presentation of research results, e.g. at conferences or research funding applications, the current logo of the TU Dresden and only registered secondary logos may be used and the instructions on Corporate Design should be considered.
In addition to the name of the university, authors may also indicate their more detailed institutional affiliation: School/faculty , central scientific unit or Cluster of Excellence,
institute, chair or working group, and, if applicable, more detailed address information. Please use the official names and translations that are also available in the Research Information System (FIS). Accordingly, please indicate and use the official email address at TU Dresden or at the university medicine.

In the case of multiple institutional affiliations, all insti-tutions must always be listed as affiliations. This applies in particular to joint appointments or cross-institutional doctoral programs (e.g. IMPRS), i.e. if there is also an affiliation to a non-university research institution (e.g. MPG, FhG, HGF or WGL) in addition to the affiliation to TU Dresden. In this case, both affiliations must always be indicated.
The guideline also applies if the research results presented in publications were generated to a relevant extent at the TU Dresden including university medicine. This applies for temporary affiliation such as honorary professors, lecturers, scholarship holders; persons who conduct research and publish at the TU Dresden including university medicine in the context of a visit, as well as in the case of a change of employment during the research and publication process.
Publishing members and affiliates whose primary affiliation is the TU Dresden including university medicine must name this as their first or main affiliation. In other cases, such as joint appointments, honorary professorships, or visiting scientists, the TU Dresden or university medicine should also be named, at least as a secondary affiliation. In the case of other multiple affiliations, the institution at which the majority of the research work was accomplished should be named first.

When posting topics related to research, teaching, or transfer at TU Dresden including university medicine on social media, please use the appropriate relevant reference. A list of channels actively used by TU Dresden is provided on the TU Dresden website.
As TU Dresden is a member of the ORCID Consortium Germany, it is strongly recommended to register with ORCID (Open Researcher and Contributor ID) and to use this identifier in daily scientific work. The ORCID iD is an internationally and in all disciplines recognized identifier independent of the place of work of the researcher. Many publishers already require the specification of an ORCID iD when manuscripts are submitted.
In general, the personal ORCID iD can be linked to the database-specific IDs as well as directly to the personal profile in the Research Information System (FIS) of the TU Dresden, so that inconsistencies in the assignment of publications can be mostly avoided. Special attention should be paid to different spellings of names and matching personal profiles. If names contain an umlaut or a sharp S (ß), prepositions or articles, it can be useful to store different name variants.
Researchers at TU Dresden including university medicine are also recommended to set up their author profiles in relevant literature databases and profile services (e.g. ResearcherID in Web of Science, Scopus AuthorID or Google Scholar Citations) themselves or to check them regularly and - if necessary - to correct them using the respective support function.
The Saxon State Library − Dresden State and University Library (SLUB) Dresden supports with information and consulting services on Academic Identity Management in the context of general publication consulting.
The SLUB and TU Dresden strongly support Open Access (OA) publishing. OA representatives are, by virtue of their office, the Vice-Rector for Research of the TU Dresden and the Director General of the SLUB. In order to further promote the transformation process to OA publishing demanded by the German Council of Science and Humanities1, publishing members of the TU Dresden including university medicine are expected to publish scientific publications in peer-reviewed, preferably in international Open Access (OA) formats under an open license (e.g. Creative Commons) or to add an English abstract for German-language papers. For this purpose, all corresponding authors with primary affiliation to the TU Dresden have access to a wide-ranging portfolio for OA publishing. It should be noted that researchers may be obligated to open access publishing within the context of externally funded projects, e.g. by the DFG and the EU. If the results of externally funded projects were not published in a pure (gold) OA format, a post-print publication (Green OA) is usually appropriate.
The institutional document and publication server of TU Dresden, Qucosa, is available to all authors for the purpose of post-print publications that have already been published in a licensed journal or by a publisher, as well as for self-archiving or electronic publication of scientific work, e.g. research reports, working papers, student (final) theses, dissertations and post-doctoral theses, digitized images, etc. For open access to research data according to the FAIR principles2, the TU Dresden offers the Saxon research data repository OpARA as well as a comprehensive consulting and service portfolio on the topic of research data management with the Service Center for Research Data.
These services are used to reference, cite and link scientific publications (publications and research data) using a persistent identifier (e.g. URN, DOI). This serves the permanent and unique identification of scientific works and is preferable over citation by often transient URL addresses. For student (final) theses, dissertations and postdoctoral theses, the regulations of the study and examination regulations as well as the doctoral and postdoctoral regulations of the TU Dresden must be followed.

All publications of TU Dresden have to be registered in the Research Information System (FIS) according to the FIS regulations of the TU Dresden. For this purpose, all academically active members and affiliates receive their own FIS profile, in which the various forms of publications can be entered into corresponding categories. To facilitate the entry of publication metadata, numerous public publication databases are available, some of which require a license. Since students generally do not have access to the FIS, supervisors and mentors require the author‘s (student‘s) declaration of consent if the publication metadata of student theses from the FIS shall be published, for example, in the TUD Research Portal or on the websites of TU Dresden (Here you can find an internal template (in German) for a consent form for electronic publishing of bibliographic metadata on student theses). For the publication of the complete work, the institutional document and publication server of the TU Dresden Qucosa is recommended.
If publications have been produced partly or entirely in the context of a third-party funded project, the authors are generally obliged to include the required wording of the funding institution. Clear specifications can be found in the funding organizations‘ guidelines (e.g. „Funded by the German Research Foundation (DFG) - project number(s)“). The information about the third party funders is usually given in standardized fields for „Funding acknowledgements“. These are sometimes included in the import of publications from public publication databases into the FIS. For clear identification and improved external representation, all research results entered in the Research Information System (FIS) should also be linked to the corresponding project(s).
