Visualization of data flows brings clarity and structures
A research group approached the Service Center Research Data with the following issue: the group was finding it increasingly difficult to explain the logic of their data flows/storage to new staff.
What had happened? In this research group, the data flows had grown constantly over the years, primarily in an "organic" manner. At some point, the logic of the data flows reached a dimension that was no longer comprehensible for all employees (and especially for new staff members).
In order to optimize the data flow, we worked together with the Research Unit to subject the existing workflows to a down-to-earth analysis: Where could the data traffic flow from A to B “with no interference”? Where were there unwanted "dead ends", "one-way streets", or even "incorrectly parked vehicles"?
We visualized the results of the analysis for the researchers as a data flow diagram. The diagram provided the researchers with clearly defined answers to the questions: "Who receives which data in which manner, from whom, and for which reasons?"
This literally made the existing data flow logic "visible" again. Subsequently, it was only a small step to simplify the logic of the data flows and adapt them to the current requirements of the Research Unit.
What we learned from this consulting project: a systematic mapping of the relevant data flows of a project is often the first step in successful consultation on research data management. Often, this method not only identifies discrepancies in the storage of data – but also uncovers potential for improvement for team communication. The latter can then also be resolved by formulating understandable rules.
