Expiration of ZIH User Accounts

The ZIH user accounts managed by the IDM system expires when the user is no student, staff member or guest at the TU Dresden any more. This is the case with exmatriculations, expirations of contracts or expirations of guest relationships. Expired ZIH user accounts will be locked after a [deadline of accommodation] of 14 days and deleted after a [deletion deadline] of 15 month.

ZIH- user accounts won't expire as long as at least one contract-, student- or guest-relationship exists with the TU Dresden. The affected users may continue using their accounts for example in the following cases:

• A student becomes a TU Dresden staff member right after his studies.
• A staff member's contract is extended or he gets another one.
• A student switches his field of study.
• A guest becomes a staff member at the TU Dresden.

In this cases the new contractual relationships or students relationships will be automatically transmitted by the personnel or students administration and assigned to the according ZIH user accounts. Therefore there is no need to apply for further use of the ZIH user accounts.

Deadline of Accommodation

For expired ZIH user accounts an accommodation deadline of 14 days is granted. In this time the account stays active and can be used as normal. Not before the deadline ends it will be locked. Once locked, the account cannot access the central IT services of TU Dresden or the personal user data any more. Personal data won't be deleted after the locking, the relevant e-mailbox will be deactivated including all set e-mail forwardings.

To warn the user against the locking of his account, the IDM system sends three e-mails within the accomodation deadline. In these e-mails it is recalled that all personal data should be backed up. The user alone is responsible for the backup of his data. If the user becomes a student, guest or staff member of TU Dresden again within the deadline, the account will be re-activated. Also in this case the transmission of new contractual relationships or students relationships to the IDM system happens automatically.

Deletion Deadline

A deletion deadline of 15 month is defined for ZIH user accouns in the IDM system. After this deadline the user account will be permanently deleted. All personal data and e-mail forwardings will be deleted as well. Only the ZIH-login and the perosnal e-mail address will be archived in the IDM system to avoid re-assignments to new users.

In the case the user becomes a staff member, student or guest at TU Dresden within the deadline again, the deletion will be cancelled and the account will be re-activated. Also in this case the transmission of new contractual relationships or student relationships to the IDM system happens automatically.
